We have some providers that are following the correct training payment dates (YAY!) but because the training time is listed at midnight they think they can pay that late. Is it possible in the next update for the R&R's to be able to add an end time for training payments?

We received an idea from a Director asking if there could be a report in the Director's Portal that will list  paid training that their staff have signed up for, all on one page versus Directors having to look at each individual's registrations. She also suggested that the list would populate the total amount due and when payment has been made or staff have unregistered, they will drop off the list and the total amount due will reflect what is current.

I believe I read that the In-service form is not functioning for series yet.  Can I make a suggestion?  In order to save paper and personnel time, can it calculate hours for the total sessions attended and just print one in-service form at the end of the series?  Maybe we can set it up with options: print In-service forms per session or one at the end of the series.

Hello all!

We've heard from many of you that the PDTrack Evaluation module is less than ideal when it comes to PDTrack Series. On Monday, October 3rd, we'll be rolling out an update to the PDTrack Evaluation module to better accommodate PDTrack Series. In the updated evaluation system, you'll be able to enter in a separate evaluation aggregate for each AT that is a part of that PDTrack Series. For example, you'll be able to print out an evaluation form for each of the twelve Mind in the Making ATs with AT-specific headers, dates, and instructors.

We've updated the PDTrack Workshop Summary PDF for PDTrack Series in a similar manner-- you'll be able to download a separate session summary for each AT in a Series, and only the aggregate evaluation information entered for the specific AT will be included in the summary. There is currently no "full series" evaluation in PDTrack; only the individual ATs within a Series. The overall/final evaluation system is still in the initial discussion and design stage.

Finally, we've added a section to all PDTrack Evaluation forms for the state-mandated Needs Assessment. In the bottom right corner of the Evaluation form, you will notice a list of 13 topic areas that evaluation respondents can fill out. To enter the Needs Assessment data into PDTrack, total the aggregate number of responses for each topic area in the same manner you add up the 1-5 scale questions, and enter the totals in the appropriate areas on the PDTrack Evaluation entry page on registry.occrra-central.org. Needs Assessment data will be available on the PDTrack Reports page and will be broken down by county based on the training location.

Hello all!

We're here today to introduce two new features aimed at eliminating no-show issues caused by duplicate registrations and registrations with conflicting dates and times.

The first addition is the AT Lockout feature, and is configurable for each ST in PDTrack. Many of you have expressed dissatisfaction that PDTrack will allow a professional to register for every instance of a given training they can find, hoping that they'll be able to make it to one of them. This makes it harder for other professionals to register for PDTrack sessions, as there are people taking up registration spots that have no intention of attending. If you would like to disallow automatic registration for a training if the professional is already registered for the same training on a different day or time, you can check the following box in the General Info page of your ST.

 

If you select this option, users will be presented with the following registration button and popup message if they attempt to register for this session and are already registered for it in another ST:

 

While the AT Lockout feature is optional (it will not prevent registrants from registering for duplicate trainings unless you check the box), the second feature we're announcing today will be applied to all PDTrack Series and Trainings-- the Date/Time Lockout.

 

The Date/Time Lockout is simple-- it checks each of the PDTrack Sessions that the professional is registered for against the session dates and times for the session they are viewing. If one or more of the dates/times conflicts, it will not allow the user to register for the next ST. The notification pop-up box displays a clickable link to the conflicting session. An example of the lockout popup is below:

These features are designed to work in conjunction with the No-Show Lockout. In the event a professional would be locked out of a session for more than one of the available lockout reasons, they will be displayed in the following order: No-Show Lockout, AT Lockout, and Date/Time Lockout. All of these lockouts can be overridden by a PDTrack Data Entry user by registering the user via OPIN on registry.occrra-central.org.

These features are currently scheduled to go live on the morning of September 6th, 2011. At that time, registrants will no longer be allowed to auto-register for sessions with conflicting dates and times, and PDTrack users on registry.occrra-central.org will have the ability to activate the AT Lockout feature for their STs.
